a. Each member will dedicate the time that is necessary to the task they have taken on. If the task is finished early, they can say so and offer to help with other tasks. If the task is taking longer, they can say so and ask for help.b. Boundaries around time – evenings are personal time. Weekends are generally personal time too, but the consensus is 2 hours can be dedicated to the group on a Saturday morning between 10 am and 12 pm.c. We agree that the digital movement and the event remain in line with our communal vision and values relating to female empowerment and positive expression, community spirit, and belonging.
d. We all show a degree of flexibility and empathy in group work, we are all trying to contribute equally and in line with our strengths.

Considerations and suggestions for group work:
Social media accounts would make links to similar accounts, Facebook groups, via likes, mentions, and direct messages where applicable. Write about our page/campaign/movement to accounts with a high following with common interests such as intersectional feminist activism (contact feminist activists/artists/individuals/organisations, etc.).
Action all group members to repost on their own accounts and tag relevant popular accounts they have a connection to already, regular, and ongoing.

Discussion for group meeting on 16/11/2022, (suggestions by Stef 14/11/2022)

We each took turns to add our contribution to the meeting and agreed that we would focus on the subject being discussed, we would wait to ask questions at the end, and we would make our input on our turn.
Minutes were taken and typed by Stef. Can all group members please read this document and ensure it is a complete record of what was discussed in yesterday’s meeting? Should you find missing information please add it and highlight your insertion. Many thanks.

It is understood that commitments we make to group work can be discussed with the group if we encounter difficulties in meeting them. We are free to ask for help if we need it and to offer help if we find we have finished our tasks early and have available time/energy.
Sammi confirmed she has sent two emails and she will follow them up with telephone calls on 17/11 (action Sammi 17/11).
Sammi has had recent contact with Cheltenham borough housing CBH and will follow this up with an e-mail to her contact by 18/11 [action Sammi 18/11].
All group members are to provide photographs of our stones to Ellie for social media publishing by 20/11 (action all group members 20/11).

Sammi is working on the pilot workshop organisation and confirmed with Tracy about sourcing materials such as rocks, posca pens, acrylics, magazines and newspapers, glue, scissors, modpodge, etc. this list is not exhaustive but can be added to creatively [action Tracy by 25/11 materials need to be in Hardwick campus ahead of the pilot workshop on 25/11 at 10:30]. It is important to note that there is absolutely no expectation for Tracy to fund resources from her money. Tracy’s role is to coordinate the gathering of resources which can include collecting pebbles from the beach and asking people/organisations to offer some of the existing craft materials (for example Stef – can provide some marker pens, PVA glue, yoghurt pots & brushes), or Finding funding.
Sammi will create stencils that can be used to decorate/paint on the rocks, these can be particularly helpful for people who may feel they have no creative/artistic skills. (Action Sammi before the pilot workshop if possible).
A poster needs to be created and distributed (carefully, the ideal number of under 10 participants for the space) to advertise the pilot event taking place at the Hardwick campus in the art room social area [action Ellie ASAP].
A list of organisations which help vulnerable women in different situations is needed so it can be used as signposting on social media platforms we will be using (action Tracy by 21/11 to provide to Ellie).
A feedback form to give to pilot workshop participants is required. This form would help us find out what we can improve for the live workshop, what went well for the participants, what participants got out of the workshop, how the event panned out, and any other feedback, and it is an opportunity for us to thank participants. (action Stef 18/11).
In case we receive an overwhelmingly positive response to our emails, and lots of organisations wish to participate in our rock painting workshops we can prepare an e-mail which will state future events will take place (Action Stef at a future date, not a priority now).
Ellie would like to have a group photo shoot if possible as part of our social media ‘about us’ post. We discussed dates and found it very difficult to come up with something suitable soon. It was agreed that for now, each group member would provide a colour photograph ASAP. Using our messenger chat all members have now provided a colour photograph which Ellie can use for social media introductions.
Following the discussion about social media introductions, Tracy should provide a short paragraph about her Max 50 words, and up to six photos of her own work, and send it to Ellie via messenger chat. (Action Tracy by 20/11)
As our social media representative, Ellie has already set up an e-mail account for our I am here campaign. she is in the process of setting up social media accounts using the following platforms:
Facebook, Instagram, Twitter, and tick tock. Ellie will add usernames and passwords for those accounts in the shared document (link provided above), this is a useful backup plan, should the need arise remember to access those accounts. (Action Ellie when accounts are live)

Elli shared a campaign that the university of Gloucestershire is participating in, under the hashtag #neverOK. Ellie will contact Beth the welfare officer, who is handling the ‘never OK’ campaign, to introduce the I am here campaign with the view to gain support and promotion, ultimately for further audience engagement (action Ellie by 23/11).
Tracy came up with many more organisations that we could contact to add to the list that exists. She included names like the motherhood Society, mind which have local creative workshops, Cheltenham mums Facebook page, post-Natal depression Facebook group page, Gloucestershire WI, SARC Gloucestershire, and Victim Support. Tracy suggested using the ‘my Glos’ app advertising space to promote the I am here movement. Ellie explained that in her experience this would be incredibly hard if not impossible and it is something managed by the student union. At the meeting, it was consensus the challenge this posed at present was not worth the effort it required in taking this forward. Ellie pointed out that this is a national and international campaign.
Tracy said she would think about how the exhibition space at the Hardwick campus could be used to promote our campaign (action Tracy to update the group on this at a future date).
Tracy noted the Wilson Gallery has a room for hire. We discussed the lack of budget for hire space at the moment, but more importantly the focus on using an organisation for the workshop which will provide the very crucial safeguarding infrastructure. Knowledge of spaces available for future promotion /needs is useful.
Tracy put forward suggestions regarding videography. We agreed at present participants’ anonymity is paramount and no images of them or videos would be streamed. In future, when our campaign goes VIRAL, videography can be ethically & carefully used to promote the campaign.
Tracy also mentioned her contact Jason Mohammad, a Welsh radio and television presenter currently working for the BBC, who also has his own TV company. He could be useful in promoting the movement going forward. As a group, we need to think about and formulate a media strategy for our event going BIG, make some notes and present some thoughts at our next meeting, and write them on messenger (Action all group members).
